Creating and editing links to a collection

A user can share a collection by creating a link to it. All assets included in the collection will be accessible via this link.

 Access can be granted via a link even to hidden collections. Access to collections via a link can be granted even to people not authorized in the system.

When following the link, the user will see a list of assets in that collection, will be able to view asset properties, and download asset originals and their proxy versions.

You can create permanent or temporary links. A temporary link will only be active until the date you set.

Creating a Link to a Collection

You can share an existing collection:

1. From the Collections feed:

• Go to the Collections feed.
• Select one collection.
• On the bottom bulk actions panel, click the Share button.

2. From the right sidebar (when viewing the collections feed):

• Select a collection.
• In the right sidebar, go to the Share tab.
• Click Create link.

The Creating a link to a collection window will open. The settings are similar to creating a link for multiple assets, except that you do not need to enter a collection name (as it already exists).

Configure the link parameters:

1. Link name: Enter a name for the link itself (optional). By default — «Link from [date], [time]».
2. Allow to download: Choose which types of assets will be available for download (Original, Proxy, Attachments). Options are available if at least one of the selected assets has the corresponding version and you have the rights.
3. Proxies for downloading: If proxy download is allowed, select the available versions. The list will show all proxy options existing for the selected assets, grouped by type (Image, Video).
4. Set expiration date: Set the link deactivation date if needed.
5. Set password: Protect the link with a password.
6. Show watermark: Enable if you want to display watermarks on previews and proxy versions of images in the collection.
7. Allow search by persons from photo: If face recognition is enabled and if the search by persons feature is connected, this option will allow users who follow the link to use face search within this collection.
8. Click Create link.
9. A window with the ready link to the created collection will appear. Copy the link, embed code, generate a QR code, or close the window.

Link Management

To see which links have been made for a specific collection, you need to select it in the asset feed, and then open the Share section in the right sidebar.

The following actions are available for each link:

• Edit link (pencil icon): Opens the link settings window where you can change the name, expiration date, password (a new one will be required), download permissions, proxy selection, and other parameters.
• Copy link: Click once on the link URL to copy it to the clipboard.
• Copy embed code (</> icon): Copies the HTML code for embedding the content via the link on an external website.
• Generate QR code (QR code icon): Opens a window to generate and download a QR code (in PNG or SVG format) that leads to this link.

• Delete link (trash can icon): Permanently deletes the link. Access via this link will become impossible.

Peculiarities

• Active link indicator on collections: If a collection has at least one active public link, a chain icon will be displayed next to its name in the collection list and when viewing it. Hovering over the icon will show the tooltip «Public link is active.»

• Deleting a collection with a link: When attempting to delete a collection that has active links, the system will show a warning that access via these links will be lost.
