Any user, regardless of access rights, can subscribe to an asset, multiple assets, a collection, or a search query to receive notifications about changes in the respective assets and collections. This allows users to stay informed about new relevant materials in Picvario, promptly track version replacements of current assets, and the deletion of outdated ones.
Notifications can be received through the Notification Center and via email.
The Notification Center is located on the top panel of the Picvario interface and is only displayed for authorized users.
Subscribing to an Asset
Subscribing to a single asset tracks the following actions:
- Asset deletion;
- Replacement of the asset’s original file.
If one of these events occurs (for example, an asset the user subscribed to is deleted), the user will receive a notification via email or in the Notification Center.
By default, the Owner (i.e., the user who imported the asset into the system) is automatically subscribed to notifications about asset changes and comments on it.
You can subscribe to asset changes using the toggle switch in the preview of the selected asset.
- Select one asset.
- Click on the three dots icon.
- Toggle the «About changes» switch to the Yes position.
You can subscribe to comments on an asset using the toggle switch in the preview of the selected asset.
- Select one asset.
- Click on the three dots icon.
- Toggle the «About comments» switch to the Yes position.
To unsubscribe, toggle the respective switch to the No position.
Subscribing to a Collection
Subscribing to a collection tracks the following actions:
- Removing an asset from the collection;
- Deleting an asset that belongs to the collection;
- Adding an asset to the collection.
If one of these events occurs (for example, several assets were excluded from a collection the user subscribed to), the user will receive a notification via email or in the Notification Center.
By default, the Owner (i.e., the user who created the collection) is automatically subscribed to notifications about the collection they imported.
You can subscribe to changes in a collection using the toggle switch at the bottom of the bulk actions panel.
- Select the collection in the collections feed.
- At the bottom of the bulk actions panel, click the «… More» button.
- Toggle the «About adding and removing assets» switch to the Yes position.
You can subscribe to comments on a collection using the toggle switch at the bottom of the bulk actions panel.
- Select the collection in the collections feed.
- At the bottom of the bulk actions panel, click the «… More» button.
- Toggle the «About comments to the collection» switch to the Yes position.
To unsubscribe, toggle the respective switch to the No position.
Subscribing to a Search Query
Subscribing to a search query allows you to receive notifications when new assets matching this search query are uploaded to the system.
Saved search queries are stored in the filter panel. They are also convenient for quickly navigating to the required assets.
Saving a Search Query
A user can save a search query to then:
- Use it as a quick pre-configured search. This allows searching for necessary assets with a single click;
- Subscribe to the search to receive notifications when new assets matching the search are uploaded to the system.
To save a search query:
1. In classic search mode, enter your search query. You can use words and phrases, logical and wildcard operators, properties from the filter panel, and also select taxons and collections on the left panel (to select multiple, choose them while holding down the CTRL or Command key).
2. Apply the search. To do this, click the Apply button at the bottom of the filter panel.
3. The Save search button will appear below the search bar. Click on it.
4. In the window that appears, enter a name for the search. This field is mandatory. The search name must be unique.
5. If you want to subscribe to notifications about new assets for this search query, leave the «Notify about new uploaded assets» toggle in the Yes position. If you do not want to receive notifications about new assets for the search query, toggle the switch to the No position.
6. Click the Save button.
Panel with Saved Queries
All saved search queries are displayed in the Saved tab in the Filter Panel.
They are ordered by the time they were added: the newest added queries are at the top of the list.
Below the query name, you can see which filters and words in the search bar are applied.
Outdated search queries, for example, those in which one or more filters have been deleted, are marked with an exclamation mark.
In this case, you can apply the search, excluding the deleted filters, or delete the selected search query.
Click on the bell icon next to the search query to disable notifications about new assets for this query.
Depending on the configured notification frequency, the user will receive a message via email and/or in the Notification Center once an hour, once a day, once a week, or once a month.
Using a Saved Filter for Quick Search
To use a saved filter for a quick search:
- Open the filter panel.
- Go to the Saved tab.
- Click on the required search query.
The saved search parameters will be immediately applied, and all assets that match the search query will appear in the asset feed.
