Integration with tape libraries

A tape library (storage) is a device designed for long-term storage of large amounts of information.

Picvario supports integration with the Archiware P5 data management system, which allows integration with tape storage.

Connecting tape storage allows you to add original files of the assets to the archive and restore them from the archive. If the asset is completely deleted from Picvario, the archived original will remain in the tape storage and will not be linked to any assets.

The permission to add files to the archive and restore them from the archive is set by the Picvario administrator.

Archiving the original of one asset

1. Select the asset whose original file you want to add to the archive.

2. On preview panel, click Integration with tape libraries, select Archive original.

The user will be prompted to delete the online copy from the system storage to free up space. You can leave the toggle switch in the On state, then after the successful completion of the archiving process, the copy will be deleted from the system storage, or turn the toggle switch to the Off state, then the copy will be saved.

3. Click the Archive button.

A message “Original file is waiting to be archived” will appear in the lower right corner of the page with a countdown during which the process can be canceled.

The archiving process will be displayed in the “Active Processes” tab in the upper-right corner of the screen.

Upon completion of the archiving process, you will receive a notification in the Notifications tab and an email to your email address.

Archiving originals of several assets

To add several original assets to the archive:

1. Use the CTRL or SHIFT keys to select the assets.

2. On the bottom bulk actions panel, click Integration with tape libraries, select Archive originals. The number of originals for which the action is available, and the total number of the selected assets will be indicated at the button.

The user will be prompted to delete the online copies from the system storage to free up space. You can leave the toggle switch in the On state, then after the successful completion of the archiving process, copies will be deleted from the system storage, or turn the toggle switch to the Off state, then the copies will be saved.

3. Click the Archive button.

A message “number original files are waiting to be archived” will appear in the lower right corner of the page with a countdown during which the process can be canceled.

The archiving process will be displayed in the “Active Processes” tab in the upper-right corner of the screen.

Upon completion of the archiving process, you will receive a notification in the Notifications tab and an email to your email address.

Archiving originals of several collections

To archive original files from multiple collections:

1. In the collections feed, select the collections.

2. On the bottom bulk actions panel, click Archive originals. The number of originals for which the action is available, and the total number of the selected assets will be indicated at the button.

Follow the steps described above.

Restoring the original from the archive

To restore the original of one asset of their archive:

1. Select the asset whose original file you want to restore.

2. On the preview panel, click Integration with tape libraries, select Restore original.

Or

In the preview panel, go to the Files tab. An icon Integration with tape libraries will be displayed next to the original added to the archive.

3. Click the Restore button.

A message “Original file is waiting to be restored from archive” will appear in the lower right corner of the page with a countdown during which the process can be canceled.

Wait for the recovery process to complete. The process will be displayed in the “Active Processes” tab in the upper right corner of the screen.

Upon completion of the recovery process, you will receive a notification in the Notifications tab and an email to your email address.

Restoring the originals of several assets

To restore originals of several assets from the archive:

1. Use the CTRL or SHIFT keys to select the assets.

2. On the bottom bulk actions panel, click Integration with tape libraries, select Restore originals. The number of originals for which the action is available, and the total number of the selected assets will be indicated at the button.

3. Click the Restore button.

Deleting an online copy from a single asset

If the original file has been added to the archive, you can delete the online copy from the workspace to free up space.

1. Select the file whose online copy you want to delete.

2. On the preview panel, click Integration with tape libraries, select Delete online copy.

or

In the preview panel, go to the Files tab. An icon Integration with tape libraries will be displayed next to the original added to the archive. Select the original file, click Integration with tape libraries, select Delete online copy.

3. In the dialog box that appears, click the Delete button.

A message “online copy of the original deleted” will appear in the lower right corner of the page and a countdown during which the process can be canceled.

The asset icon in the Files tab on the preview panel will change from Integration with tape libraries to Integration with tape libraries.

Upon completion of the process, the original file will be deleted from the system storage and will remain only in the tape storage.

Removing online copies of several assets

1. Use the CTRL or SHIFT keys to select the assets.

2. On the bottom bulk actions panel, click Integration with tape libraries, select Delete online copy. The number of originals for which the action is available, and the total number of the selected assets will be indicated at the button.

3. In the dialog box that appears, click the Delete button.

A message “the online copies of number originals has been removed” will appear in the lower right corner of the page and a countdown during which the process can be canceled.

The asset icon in the Files tab on the preview panel will change from Integration with tape libraries to Integration with tape libraries.

Upon completion of the process, the original files will be deleted from the system storage and will remain only in the tape storage.

Removing online copies of several collections

1. In the collections feed, select the collections.

2. On the bottom bulk actions panel, click Integration with tape libraries, select Delete online copy. The number of originals for which the action is available, and the total number of the selected assets will be indicated at the button.

Follow the steps described above.

Asset statuses

Depending on the status of the original file added to the tape storage, the following statuses are displayed:

Integration with tape libraries — the file is archiving. It is displayed if the process of adding a file to the archive is started.

Integration with tape libraries — the file is in the archive. It is displayed if the original file has been archived and the online copy has been deleted from the system storage.

Integration with tape libraries — the file is online and archived. It is displayed if the original file is archived, and the online copy is placed in the system storage.

Integration with tape libraries — the file is in the process of recovery. It is displayed if the process of restoring a file from the archive is running.

Integration with tape libraries — the original file is not available. It is displayed if the original file is not available in the system storage, and it is not in the archive.

Search Filters

In the filtering panel, the user can filter assets by the availability status of the original.

1. Open the filter panel and find the Original status filter.

2. Select one or more necessary filters from the list:

  • Online. Select this filter to find those assets whose originals are in the system storage and have not been added to the archive.
  • In archive. Select this filter to find those assets whose originals have been added to the archive and do not have an online copy in the system storage.
  • Online & In archive. Select this filter to find those assets whose originals have been archived and have online copies in the system storage.
  • Archiving. Select this filter to find those assets whose originals are in the process of archiving.
  • Restoring. Select this filter to find those assets that are in the process of restoring originals from the archive.
  • Not available. Select this filter to find those assets whose originals are not available in the system storage and have not been added to the archive.

If the original has been added to the archive and does not have an online copy in the system storage, it cannot be downloaded. The Download button will be inactive.
